Private household staffing in Toronto

Recruiting for a private residence is a question of temperament as much as skill.

Household staffing is the part of private-client service that touches a family most closely. The people involved are in the house, often daily, frequently when the family is not. Skill is the entry requirement; discretion, judgement and fit with the household are what decide whether a placement lasts.

Toronto has a real market for this — placement firms that work only with private households, firms that also serve corporate clients, and a considerable amount of hiring that happens by word of mouth and never appears anywhere searchable.

The roles

Households tend to describe the role they already have rather than the one they need. It is worth separating them before approaching anyone.

  • Housekeeper and head housekeeper — daily standards, laundry, care of finishes and fabrics
  • House manager — schedules, trades, staff and the running of one residence
  • Private chef — daily family cooking, entertaining, dietary management, provisioning
  • Butler or household service staff — service, guests, formal entertaining
  • Nanny, governess or family assistant — children, schooling logistics, travel
  • Household driver — school runs, appointments, airports, vehicle care
  • Caretaker or property staff — grounds, systems, seasonal and second residences

How placement firms work

A specialist private-household firm typically takes a detailed brief, presents a small number of candidates it knows, arranges trial days, and supports the offer and onboarding. Fees are usually a percentage of first-year compensation, payable on placement, with a replacement period of a few months.

Firms that also recruit corporately can work perfectly well, but the process is different: larger candidate pools, less personal knowledge of each candidate, and more of the assessment left to you. Ask which model you are engaging before you begin, not after the first shortlist disappoints.

  • Is private-household placement the firm's main business
  • How many candidates will I see, and how were they sourced
  • What is the fee, when is it payable, and what is refundable
  • How long is the replacement period and what voids it
  • What checks does the firm carry out, and what remains with me

What to settle before hiring

Most household placements that fail do so over expectations rather than competence. Writing these down early is the single most useful thing an employing household can do.

  • Hours, days, overtime and how short-notice changes are handled
  • Whether the role is live-in, and what accommodation includes
  • Travel with the family, including second residences such as Muskoka
  • Confidentiality, household privacy and use of personal devices
  • Employment status, payroll, vacation and statutory entitlements in Ontario
  • Probation, reviews, notice and how issues are raised on both sides

Employing properly

Household staff in Ontario are employees, with the entitlements that follow — and a household that treats the arrangement informally carries the risk. Payroll, records, vacation pay and notice are not optional, and a placement firm that glosses over them is telling you something.

Where staff work across a Toronto residence and a property elsewhere, agree in advance how travel time, accommodation and hours away from home are treated.
